Privacy policy

Draft for review by a lawyer before launch.
Who we are
RekonPro provides shop management software for auto repair and collision shops, from Orlando, Florida. This policy covers this website (rekonpro.com) and the RekonPro service (the app at your shop's rekonpro.com address). Questions or requests: privacy@rekonpro.com.
We play two roles. For visitors of this website, people who ask for a demo or a shop, and the shops that subscribe, we decide how their information is used. For the information a shop keeps about its own customers (people who bring their cars in), we are the shop's service provider: we process it only to run the service for that shop and on its instructions.
What we collect
- Demo requests (rekonpro.com/demo): name, shop, email, phone, city, type of shop, current software, plan and notes you type.
- Sign-up requests (app.rekonpro.com/signup): shop name and address, your name, email, optional phone, plan, language, the password you choose (stored only as a one-way hash) and the network address the request came from, used to limit abuse.
- Shop accounts: names, emails, roles and language of the people who use RekonPro at a shop, sign-in times, and a log of important actions. Billing details: plan, payment dates and amounts, and the Stripe receipts (not card numbers). When a shop cancels, the reason and comments the admin chooses to give.
- Data a shop stores: its customers and vehicles, repair orders, estimates, invoices, inspections and photos, signatures (with the date, network address and device of the signer), messages, appointments, payments records and notes. Card numbers are never stored by RekonPro.
We don't ask for more than we need. Optional fields stay optional, and we never buy information about people from others.
How we use it
- To reply to demo and sign-up requests, open and run your shop, and provide support.
- To keep the service secure: sign-in protection, abuse limits, backups and the action log.
- To bill the shop and keep the records the law requires.
We don't sell personal information, don't share it for cross-context behavioral advertising, and don't use shop data to train AI models or for any advertising.
Who we share it with
Only the companies that help run the service, and only for that purpose:
- Hostinger: the servers that run the RekonPro service, in the United States.
- Stripe: charges shops' RekonPro subscriptions. Card details go straight to Stripe; RekonPro never sees or stores them.
- Cloudflare: hosts this website, runs our domain's DNS, counts website visits without cookies (page, browser, country and load speed, no individual tracking) and protects the service from attacks.
- Web3Forms: emails demo requests to us.
- Open Labor Project: vehicle data and labor times, looked up by year, make, model and engine only.
- NHTSA (U.S. Department of Transportation): decodes a VIN into year, make and model.
Services a shop chooses to connect use the shop's own account and send only what they need: Twilio (text messages), Stripe (card payments), the shop's email provider (estimates and invoices by email), PartsTech (parts quotes, with the vehicle) and Anthropic (reading a purchase invoice the shop uploads). We may also share information when the law requires it, or with a buyer of RekonPro who keeps this policy.
Mobile phone numbers and text-message consent are never shared with third parties or affiliates for marketing or promotional purposes.
Cookies
This website sets no cookies and runs no advertising trackers; visit counts come from Cloudflare Web Analytics, which uses no cookies. The RekonPro app uses one cookie that keeps you signed in. Details in the cookie policy.
How long we keep it
- Demo requests: up to 24 months, or sooner if you ask.
- Sign-up requests: until we open or decline the shop, then the request is deleted.
- Shop data: while the subscription is active. After a shop cancels, we keep its data for 30 days so it can be downloaded, then delete it, including backups, within 30 more days, unless the law requires us to keep part of it.
- Backups: each night's copy is kept for 30 days.
Security
Connections are encrypted (HTTPS). Passwords are stored as one-way hashes, and keys for connected services are encrypted. Each shop has its own database. People sign in with their own account, can turn on two-step verification, and see only what their role allows. No system is perfectly secure; if a breach affects your information, we will tell you as the law requires.
Your choices and rights
- Shops can download their customers, vehicles and repair orders at any time (Settings → Shop Profile → Your data), correct anything in the app, and ask us to close the account and delete their data.
- Anyone can ask us to see, correct, download or delete the personal information we hold about them, and to stop marketing emails. Residents of California and other states with privacy laws have these rights by law. We won't treat you differently for using them. We may need to confirm who you are before acting.
- Customers of a shop: your repair records belong to that shop, so contact the shop first. If you write to us, we will pass your request to the shop and help it respond.
To make a request, email privacy@rekonpro.com. We answer within 45 days.
Children
RekonPro is a service for businesses and is not meant for anyone under 18. We don't knowingly collect information from children under 13; if we learn we have, we delete it.
Changes
We post any change to this policy on this page with a new date. If a change is significant, we also tell shops by email or in the app before it takes effect.
